FAQ - ANSWERS

General

What does Endix mean?

Endix is an anagram of index. Endix represents the framework for rich web-based Internet estates.

Groups

What is a group?

The term group is any number of members considered as a unit. Groups such as accountants, programmers, executives, and medical staff can be created. Groups can be further abstracted as courses, where one or many students can be singularly identified as a course.

What is the difference between a group and a course?

Two display options are available for member abstraction: groups and courses. For better community understanding, the Estate Administrator can set the visible representation of a group to represent one or the other. An Administrator would set group visibility to "courses" if the Estate is used for educational purposes.

How do I join groups?

A member can navigate to Administration/Manage Groups and join a group by clicking on the Member checkbox for the corresponding group.

How can I join a group that is marked "Invite Only"?

"Invite Only" groups require a password to join the group.

Can I create private groups?

Yes. Private groups can be created in one of three varieties:

  1. Password protected and visible to the general Estate population
  2. Password protected not visible to the general Estate population *
  3. Hidden from the general Estate population*
* Member invitations must be sent to grant access to these groups

How do I see a list of groups available to join?

A list of available groups can be seen by navigating to Administration/Manage Groups.

Notifications

What are notifications?

Notifications are an automated messaging system to alert members of scheduled or important events. The abstracted term "Notifications" represents Announcements, Reminders, Alerts, and System Notifications, and are defined as such:

Announcements: Group/course bulletins and newsletters. These are sent to each member of that group according to the schedule.
Reminders: Personal important events specific to each member
Alerts: Approaching the threshold of a given date, or numeric value
System Notifications: Events such as when a group gains/loses a member
(Alerts and System Notifications may be amalgamated)

Can I send notifications to more than one person?

Group notifications will be sent to all members of that group. A member cannot send individual notifications.

How do notification frequencies work?

The frequency of a notification can be set to one of a number of choices. The frequency can be set to once, or one every x number of days/week.

What are recurring notifications?

A recurring notification occurs once a year, x number of times before the target date of the notification. For example:

  • Notification: New Year's Eve
  • Target date: January 1, 2003
  • Frequency: One every two days
  • Number to send: 2
Thus, a notification will be received four days before, two days before, and on the target date. If this notification is set as recurring, this notification will occur every year.

What kind of content can I include in notifications?

A rich editor is used to create the content for notifications. Thus, a member can send fully formatted communications to the recipients.

What if I receive notifications on my pager or cellular phone?

When a member has indicated to the Estate messenger that notifications will be sent to their limited wireless device, only the notification title will be sent - no rich content. The recipient can later log onto the estate to view the entire rich content of the notification.

What devices can I send notifications to / receive notifications on?

Notifications can be received on any wireless device with SMS and rich content capabilities. This includes cellular telephones, pagers, Blackberry™ devices, electronic mail (e-mail) on personal laptops, desktops, and Internet-based electronic mail.

Forums

What is a forum?

A forum is a public meeting or assembly for open discussion.

Can I create my own forum?

Estate Administrators may allow members to create their own forums. To access this functionality, refer to your Estate Administrator.

Can I view the contents of more than one forum at a time?

Yes. When browsing available forums, members may select to view messages posted on multiple forums.

Documents

What rules can be applied to document sub-categories?

To meet a wide range of visibility and security needs, several rules can be imposed on document sub-categories. These include:

  • All members can add documents
  • All members can edit documents
  • Author can edit own documents
  • Documents visible to all members
  • Documents only visible to the author

Can I view documents by groups or categories?

Yes. Document categories can be viewed either by groups or categories or individual variations of each one.

What kinds of document sorting functions are available?

When viewing the documents in a subcategory, sorting options include:

  • Title (ascending)
  • Author (ascending) then Title (ascending)
  • Date (descending and ascending)

Can I create a document synopsis?

Yes, but is not required. If a document synopsis is present, a member will be presented with the information.

What are document Comments?

Given that a member has the permissions to add/edit a document comment, they can add text to the document's tail. This is useful for instructors to comment/post a mark on an assignment, or to comment on confidential documents.

Can anyone view a document's Comment?

No. Only Administrators, the document author, and members with permission to view document comments can see them.

If I have a sub-category rule set to only allow authors to view their own documents, can I place a comment on these documents?

No. See the previous question.

Can anyone edit a document's Comment?

No. Only members with privileges to add document comments are able to do so.

Categories

What is a category?

A document category contains no documents, only subcategories. Subcategories contain documents.

Can I view the contents of more than one category at a time?

Yes. The same functionality that is contained in viewing forums applies to viewing document categories. A member may select to view the contents of one or more categories at once.

Search

What criteria can I search for in categories?

The searching functionality is quite extensive, in that members can search through any one or may areas contained within an Estate.

Linking

What is "linking"?

Linking allows members to link related information. Instead of copying the contents of an already-existing document into a related forum message, a member may simply link that document to the message. The same applies across all areas of an Estate.

Can a linked item be viewed or accessed by a member who is not a member of that group?

No. Security implementations prevent members from viewing linked items contained in groups in which they are not members.

Regions

What are regions?

Estate regions consist of Notifications, Plans, Tasks, Documents, and Forums.

Notifications: This consists of an automated messaging system to alert members of important events.
Plans: Strategic planning is facilitated through the Plans region, where members can update and monitor milestone progress and share them with groups.
Tasks: Members can manage and monitor task activities, share them with groups, and enable automated notifications for due dates.
Documents: The document storage facility enables members to categorize data, link it to other regions, and append external documents.
Forums: Forums allow members to interact. They are also entirely searchable, to assist members in finding related information before posing specific questions.

What type of relationships can I create between different regions?

Inter-regional relationships are created through the linking functionality.

Estates

What is an Estate?

An Endix Estate represents a piece of online real estate that contains several popular and needed tools for community-based communication and collaboration.

What are Estate listings?

Estate listings show Estates that can be joined by the general public, or that are simply listed to show their existence. An Estate's listing can be suppressed from the public list.

How do I join an Estate on a listing?

An Estate can be joined by clicking on the appropriate link on the Estate list. An Estate can be password protected, as to only allow members to who have that password to join the Estate.

How can I limit the number of members to my Estate?

A maximum number of members can be set in the Estate's profile.

Tasks

Can I set target dates for tasks?

Yes. Target dates are configured through a calendar functionality.

Can I create personal tasks and/or share them with groups?

Yes. Unless a member has the permission to create a group-based task or share their personal tasks with other groups, they are limited to the creation of personal tasks.

Am I notified when a task due date is approaching?

Yes. An alert/notification threshold can be set for a task's due date.

Strategic Planning (Plans)

What kind of strategic planning milestones can be set?

Each plan phase contains one milestone that can be defined as follows:

  • Financial
  • Numeric
  • Time
  • Date

Can I create personal plans and share them with other members?

Yes. Personal plans can be created if a member has permission to do so, as with their ability to share those plans with groups.
